KNEC: Equation of Foreign Certificates Guidelines

The Kenya National Examinations Council (KNEC) has implemented an automated system for the submission of applications for the Equation of Foreign Qualifications through the Query Management Information System (QMIS) Platform. .

To apply for the equation of foreign certificates, applicants must comply with the specific conditions established by KNEC:

    • Certificates must be granted by an accredited examining board or institution that is legally authorized to do so.
    • Institutional-based certificates or courses, regardless of their location, must be comparable to those provided by KNEC.
    • At the time of application, applicants must satisfy the entry requirements of equivalent courses offered by KNEC.
    • For instance, individuals who are looking for an equation for a P1 course equivalent must have a Kenyan equivalent entry qualification of C (Plain).

Authenticated copies of both their “O” level and Advanced Level certificates must be submitted directly to KNEC from the awarding institution by clients who are applying for the equation of Advanced Level certificates.

C (Plain) is the minimal KCSE mean grade that applicants for the Advanced Level certificate equation must have achieved.

Individuals who are interested in obtaining Advanced Level certificates must have completed at least Division I (two) in Ordinary Level.

The applicant must have completed the mandatory subjects stipulated in the awarding regulations. For example, to qualify for the KCSE, the applicant must have completed seven subjects, including Mathematics, English, two Sciences, and one Humanity.

Applicants must have completed the requisite number of years or contact hours of formal instruction, as outlined by KNEC.

KNEC qualifications are not considered equivalent to foreign examinations or courses that are completed through correspondence or distance learning, regardless of whether they are local or international if they are not conducted in the country of origin.

Persons who possess foreign qualifications and wish to enroll in educational institutions that administer KNEC examinations must obtain an equation from KNEC before admission.

Certificates that are not in English or Kiswahili must be translated by the Embassy or Alliance Francaise of the respective country for French certificates.

The issuing Examinations Body must verify the certificates submitted for the equation, and the results must be sent directly to KNEC.

    Required Documents Applicants

Once the above conditions are met, applicants must provide the following information:

    • A letter of request addressed to the Chief Executive Officer of KNEC, which includes the applicant’s email address, mobile number, institution’s postal address, and the reasons for seeking the equation.
    • Scan and upload the request letter, as well as all certificates and identification documents.
    • Each equation letter is subject to a fee of KES. 3,480.00, which includes dispatch via Registered Mail. Alternatively, the equation letter may be transmitted via email for an additional fee of KES. 928.00.
    • The system generates a unique pay receipt and account number, which are used to make the payment via MPESA.

If no equation criteria are currently available, applicants are required to submit supplementary documentation from the examining body or Ministry of Education of their respective countries.

The equation letter is intended for the exclusive use of the designated institution and should not be duplicated or redirected.
