KUCCPS Inter-University Transfer Process: 5 Reasons for Consideration

The KUCCPS portal is now open for Inter-Institutional Transfer (IIT) applications for the 2024/2025 Placement Cycle. Eligible applicants can change institutions or courses if they meet the required cut-off points and receive endorsement from the receiving institution.

KUCCPS facilitates inter-university transfers for students seeking to change their initial placements under specific conditions. This process allows students to move from one university to another, provided they meet predefined criteria.

To apply for an inter-university transfer through KUCCPS, students must first ensure they were initially placed in the programme they intend to transfer from by KUCCPS.

Additionally, they need to meet the minimum requirements for the course they wish to transfer to, including the applicable cut-off point for their placement year.

Moreover, the programme they apply for must have been available in the year they were initially placed. It’s important to note that only one transfer per applicant is allowed for the duration of the programme.

Here’s a step-by-step guide on how to apply for an inter-university transfer via KUCCPS:

    Eligibility Criteria:

    • KUCCPS must have first put the applicant in the program from which they desire to transfer for them to be eligible for this transfer.
    • Meet the basic prerequisites for the course they want to transfer to.
    • Degree program applicants must meet the appropriate cut-off mark for their placement year.
    • The student must have been able to participate in the program that they applied for within the same year that they were initially placed.
    • Throughout the term of the program, each applicant is only permitted to engage in a single transfer.

    Application Process:

    1. Log in to students.kuccps.net.
    2. View Programmes: Use the “Programmes” tab on the KUCCPS portal to view available programmes and their requirements. Use the “Institutions” option to conduct a search based on the institution.
    3. Pick the Program You Want: Choose whatever program you would want to see and make a note of its seven-character Program Code.
    4. Click on “Transfer Application” on the dashboard.
    5. Enter institution and program codes for the transfer destination.
    6. Specify reasons for transfer and pay Kshs. 1,000 following provided instructions.

    Payment procedure:

    • Submit application and proceed to payment.
    • Use eCitizen Payment Reference Code for M-PESA payments. Processing fee of Sh1,000 per application only when prompted.
    • Retain the Reference Code for future application changes.

Application progress can be monitored on the Student’s Portal; endorsements are required from both current and destination institutions.

If the receiving institution declines endorsement, applicants are notified to consider alternative programs. After KUCCPS approval, download and submit the transfer letter to the new institution for admission processing.

Complete submission using KUCCPS Student’s Portal password. Track application progress via an application page flow chart for updates.

    Application Submission:

    • Login: Visit the KUCCPS student portal and log in.
    • Initiate Transfer: Click on the transfer tab and enter the programme code in the inter-institution transfer field.
    • Provide Reason: State your reason for transferring.
    • Submit Form: Complete the form online, then download and print it.
    • Endorsement: Send the Form to the institution that you want to transfer to so they can accept it.
    • Release: Once accepted, submit the endorsed form to your current university for release.
    • Submit to the KUCCPS: Finally, in order to receive your new acceptance letter, you will need to send the endorsed form to KUCCPS.

    Reasons for inter-university transfer:

      • Medical conditions requiring specialized care or proximity to specific facilities.
      • Students with disabilities needing better-equipped universities.
      • Financial constraints impacting educational continuity.
      • Misalignment of current program with career goals or academic interests.
      • Other reasons such as personal/family circumstances, safety concerns, or academic issues.

      After a successful transfer:

      1. KUCCPS notifies UFB and HELB.
      2. UFB and HELB update their records accordingly to facilitate the transition.
